Privacy policy.
This policy explains how Match Industrial and Trading Company Limited (“Match”, “we”, “us”) collects, uses, discloses and protects personal data, in accordance with the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486) (“PDPO”).
1. Data controller
The data controller is Match Industrial and Trading Company Limited, a company incorporated in the Hong Kong Special Administrative Region (Reg No 3233205), with registered office at Unit 1022A, Beverley Commercial Centre, 87-105 Chatham Road South, Tsim Sha Tsui, Kowloon, Hong Kong.

2. Personal data we collect
We collect personal and corporate data when you apply for a trade account, request a quotation, enter into a contract with us or otherwise correspond with us. The categories include:
- Identification data: name, role and business contact details (email, phone, postal address) of the persons authorised to act for the buyer entity.
- Corporate data: registered company name, trading address, certificate of incorporation, tax / VAT / EIN identifier and beneficial-ownership disclosures (for individuals holding 25% or more).
- Commercial data: categories of interest, approximate annual volume, port of discharge, Incoterm preferences, banking details supplied for invoicing.
- Compliance data: information collected during sanctions screening and counterparty due diligence.
- Correspondence: emails, attachments and call notes exchanged in the course of the business relationship.
3. Purposes of processing
- To assess and onboard trade-account applicants.
- To perform sanctions screening, KYC and counterparty due-diligence checks.
- To prepare quotations, proforma invoices, commercial invoices, packing lists, bills of lading and certificates of origin.
- To organise production, inspection and shipment, and to communicate with carriers, freight forwarders, customs brokers and banks.
- To manage payments, collections and the order register.
- To comply with applicable laws, including tax, customs, sanctions and anti-money-laundering obligations.
- To respond to enquiries, complaints and disputes.
4. Legal basis
We process personal data on one or more of the following bases: performance of a contract with the buyer entity, compliance with legal obligations, legitimate interests in operating, developing and protecting our business, and, where required, the consent of the data subject.
5. Disclosure to third parties
We share personal data only as required to deliver the service or to comply with the law. Recipients may include:
- Manufacturers and suppliers in the People’s Republic of China engaged to fulfil an order.
- Carriers, freight forwarders, customs brokers and inspection agents.
- Banks, payment processors and insurance brokers.
- Legal, tax, audit and compliance advisers.
- Public authorities, where disclosure is required by law or by a binding order.
6. Cross-border transfers
Match operates between Hong Kong and the People’s Republic of China and engages counterparties in North America, the European Union, the United Kingdom and the Middle East. Personal data may be transferred outside Hong Kong for the purposes set out above. Such transfers are made under contractual terms requiring an equivalent standard of protection.
7. Retention
We retain personal data for as long as necessary to deliver the service and for the period required by applicable law, including the retention obligations under the Hong Kong Inland Revenue Ordinance and customs legislation (typically not less than seven years from the end of the relevant accounting period).
8. Security
We apply organisational and technical measures to protect personal data against unauthorised access, loss or disclosure, including access controls, encrypted email transport, segregated user accounts and confidentiality obligations on personnel and processors.
9. Your rights under PDPO
Subject to the PDPO, you have the right to:
- Request access to the personal data we hold about you.
- Request correction of inaccurate data.
- Request information on our policies and practices in relation to personal data.
- Withdraw consent, where processing is based on consent.
Requests should be sent to compliance@matchglobaltrade.com. We may charge a reasonable fee for compliance with a data-access request, as permitted by the PDPO.
10. Direct marketing
We do not use personal data for direct marketing without prior consent. Where consent is provided, it may be withdrawn at any time at no cost.
11. Cookies and analytics
This website does not set advertising cookies and does not run third-party analytics. Strictly necessary cookies may be used to maintain your session.
12. Changes to this policy
We may update this policy from time to time. The current version is identified by the “Last updated” date above. Material changes will be communicated to active trade-account holders.
